1Platform Role & Multi-Tenant Data Governance

Calling Agent AT operates as a multi-tenant software-as-a-service (SaaS) provider for restaurant brands, franchises, and cloud kitchens. In relationship to phone ordering end-customers, Calling Agent AT acts as a Data Processor on behalf of our restaurant brand clients (the Data Controllers).

Each restaurant brand operates within a strictly isolated logical tenant database. Customer information, order records, call logs, and voice recordings generated for one brand are mathematically segregated and cannot be viewed, accessed, or shared with any other restaurant tenant.

2Information We Collect

We process information categorized into the following streams:

Telephone Call & Order Data

  • • Caller phone number (CLI / ANI)
  • • Spoken customer name and delivery address
  • • Audio stream during call session
  • • Extracted food items, modifiers & bill total

Restaurant Account & Technical Data

  • • Manager name, corporate email & login credentials
  • • Restaurant branch locations & phone line forwarding rules
  • • POS webhook credentials & printer endpoints
  • • Call duration, latency metrics & packet loss telemetry

3How We Use Collected Information

Calling Agent AT uses data strictly for operational restaurant fulfillment:

  • Order Fulfillment: Converting conversational speech into structured order JSON for kitchen printers, POS systems, and rider dispatch.
  • Outbound Confirmation: Automatically calling online/COD customers to verify delivery address and prevent false dispatch.
  • Speech Model Tuning: Improving bilingual English, Urdu, and Roman Urdu speech recognition for localized accents and colloquial fast-food modifiers.
  • Fraud Prevention: Detecting repeated nuisance calls, spam callers, and invalid delivery numbers.

4Voice Recordings & Audio Retention

Telephone calls routed to Calling Agent AT are recorded to ensure order accuracy, resolve disputed charges, and provide operational transparency to restaurant operators.

Retention Policy: Call audio recordings are retained for 30 to 90 days depending on the restaurant brand’s subscription plan and local regulatory compliance rules, after which raw audio files are automatically purged. Transcripts and order payloads are stored encrypted for operational accounting and tax record-keeping.

Restaurant subscribers can configure custom retention windows or request immediate deletion of specific caller audio files from their admin dashboard.

5Data Security & Encryption

We implement industry-grade technical and organizational safeguards:

  • Encryption in Transit: All HTTP and WebSocket telephony traffic is encrypted using TLS 1.3 / SRTP.
  • Encryption at Rest: Database records, transcripts, and storage buckets are encrypted using AES-256.
  • Access Controls: Role-based access control (RBAC) ensures only authorized brand managers can access their location's data.
